Who is responsible

Information we collect

When you create or use a Crew account, we may store your verified email address, authentication provider and provider user identifier, display name, permanent Crew number, joined date, Crew details, self-declared pilot qualifications, profile and seniority visibility choices, Flight Dispatch consent status and an optional profile photograph.

With permission, we also store a random first-party visitor ID and limited campaign information such as source, campaign, video label, landing path and referring website hostname. We do not store IP addresses or use browser fingerprinting for this member-acquisition reporting.

Our hosting and security providers may process technical information such as IP address, browser or device information, request times and diagnostic logs. Cloudflare Web Analytics is used to understand aggregate site use.

Google and other sign-in providers

If you choose Google sign-in, we request only the standard openid, email and profile information needed to identify your account. We use it to authenticate you, prevent duplicate memberships and pre-fill a sensible display name.

We do not receive your Google password, access Gmail or Google Drive, or use Google information for advertising. Google authentication is handled through Supabase. ChatGPT sign-in is offered separately through the site's existing authentication service.

How and why we use it

We use account information to provide and secure Crew membership, assign a permanent Crew number, deliver your dashboard and Crew ID, remember your profile choices, respond to requests and prevent misuse. Optional photographs and public profile details are used only in line with the visibility setting you choose.

If you actively opt in, we use your verified email address to send Rick's Flight Dispatch priority updates and news. This is separate from membership and you can withdraw consent in your Crew profile at any time.

With analytics permission, campaign information helps us measure which videos and links lead to Crew registrations. Anonymous visitor records are automatically removed after a limited retention period.

Visibility, seniority and photographs

New Crew profiles are private by default. Private confirms only membership validity and status. Anonymous shows Crew details without your name or photograph. Public can show your display name, Crew details and photograph on your verification page.

Seniority-list visibility is controlled separately. You may choose to appear by name to signed-in Crew, appear anonymously by Crew number and join date, or remain hidden. Hidden is the default. You can change either setting from your profile. A non-public photograph is not delivered to other visitors.

Storage and sharing

Crew records are stored in Cloudflare D1 and photographs in Cloudflare R2. Supabase processes external authentication and session information. Google, OpenAI, Supabase and Cloudflare process information only where relevant to the service you use and under their own privacy terms.

We do not sell personal information or share Crew information with advertisers. Information may be disclosed where required by law or necessary to protect the service and its users.

Retention, cookies and security

Account information is retained while your Crew membership remains active and for as long as reasonably necessary for security, legal or operational purposes. Necessary cookies and browser storage maintain authentication sessions. Optional acquisition analytics uses a consent-controlled first-party cookie lasting up to 90 days; the underlying anonymous visit record is removed after no more than 400 days. The site does not use advertising cookies.

Flight Dispatch consent and withdrawal times are retained to respect and demonstrate your latest choice. Reasonable technical measures protect information, including authenticated account checks, private-by-default profiles and privacy-aware photograph delivery. No online service can guarantee absolute security.

Your choices and rights

You can update your display name, photograph, profile visibility, seniority visibility and Flight Dispatch email choice from your Crew profile. Every future Flight Dispatch email system must also provide an unsubscribe route. You may ask for access, correction or deletion of your personal information, or raise another privacy concern, by emailing us. UK users may also complain to the Information Commissioner's Office.

The service is not intended for children under 13. This notice may be updated as the Crew Portal develops; material changes will be reflected here.
